Efficient, thanks to the assistant

Do you find yourself reading and sending endless emails? Filling in CRM data again and again? Organizing meetings, but having trouble finding a free day in your company’s calendar? Or writing daily reports? These are some of the frustrations people face in the workplace every day. How can you make the lives of your employees easier and help them reach their full potential? The answer: with a digital assistant! Lets take a closer look at three of them.

On the road sales

As a sales person, you’re on the road a lot. But during car trips – including while stuck  in traffic – to a customer, you get very little done. Travel time is high, efficiency low. In other words, precious time is being lost. A sales assistant can solve this problem.

The sales assistant is an intelligent bot that monitors your calendar and calls you once you are on your way to a customer. The assistant delves into the CRM and gets all the customer information you will need: in which phase of the sales process is the customer or lead? Are they a cold or a hot lead? This way you will be optimally prepared and informed before entering your customer’s office.

The meeting is over. You get back into the car and are called again by the  assistant.  You talk to him. Has the status changed? Is the budget still the same? Without having to open the CRM, the bot will retrieve all the new information for you. The CRM is immediately fed, calendars and address books updated and follow-up meetings scheduled. Handy, right?

Onboarding with the HoloLens

A lot of new employees start at your company every year. Of course, you can’t simply leave them to their fate from  day  one. But introducing them to a new working environment requires time:  both that  of the new people and their supervisor. An onboarding assistant makes everything run a lot smoother.

Take the tour, for example. At least a few times a year you have to show a new colleague where the dining room or meeting rooms are located, but also the coffee machine and printer. This is made superfluous by connecting an onboarding assistant to a HoloLens. The new employee simply puts on the HoloLens and is given a live tour with all the information they need for a smooth start.

That’s not all. Familiarising yourself with all kinds of business processes and other processes will also become easier: consider, for example, filling in your work schedule, how to use your team’s tools, etc. As a supervisor you no longer have to explain everything yourself, the assistant will do it for you. The new employee also no longer has to read all those documents and PowerPoints. We’re sure you will want to thank your new onboarding assistant!

Meetings by the book

Everyone has meetings. But getting everyone to the same spot at the same time is no simple matter. The meeting assistant will check the calendars, then record a time and email a request to each participant. If some participants are unable to physically attend the meeting – for example due to travel time – a Skype link will be automatically added. Very practical!

The meeting has just ended. But what  exactly was said and decided? The assistant records the entire meeting  and  transforms it into plain text via speech recognition. He summarises the meeting and then records it in your company’s meeting report template. This report is placed on an intranet so that you can read the full report immediately after the meeting.

And the assistant goes one step further. Not only will it summarise the meeting, it will also analyse it by looking for patterns. In this way, it will collect all the concrete action points so that not only every participant, but also absentees, team leads, new workers, etc. will know exactly what is required of them before the start of the next meeting. This is the basis for an efficient meeting framework.


Are smart assistants a threat to HR?

The War for Talent is booming. The focus is on attracting and retaining suitable profiles. The presence of several digital assistants will increase your attractiveness as an employer. Or do you think applicants won’t prefer a company where they don’t have to write reports or fill in a weekly schedule manually, over and over?

Current employees see the digital assistant as a threat to their job, but nothing could be further from  the  truth. Their job won’t disappear, only how it is performed. The change will be a positive one, as the focus can shift from repetitive, administrative tasks to core tasks. And that too is a win-win situation: strengthening your company starts with making your employees perform optimally.
